Smoko vs the group chat

The group chat, with a whole back office.

Your crew already runs the job on WhatsApp. Smoko keeps the yarn and adds what a group chat can’t: a channel for every job, alerts that only reach the right people, and a crew of agents turning the chatter into records.

How it works

Set up before you’ve found your keys.

Smoko runs off the jobs you already have. No setup day, no forms to build, no training course on how to use the app.

  1. Jobs flow in

Every new job gets its own chat, crew list and site paperwork, ready before the ute leaves the yard.

Built to plug into job tools like Simpro, ServiceM8 and Tradify. See integrations

  2. Crew yarns, the agents file

Chat, snap photos and send voice notes like you already do. Gaz and his crew turn them into hazards, checks and diary entries. You just tick that it’s right.

  3. Two minutes at smoko

Each day you get a few bites: the checks that matter today, anything that changed, and new gear to get across.

What Smoko does

Job chats

Every job gets a yarn. Gaz does the paperwork.

A chat for every job, with everyone on it, subbies included. Drop a photo or a voice note and it lands in the right place: the hazard register, the site diary, the inspection log.

  • Talk like you already do. No forms, no fields, no dropdowns.
  • Nothing gets filed without a human tick. Gaz drafts it, someone on site confirms it.
  • No signal? No worries. It saves on your phone and syncs when you’re back in range.
Subbies

Send a link. Subbie’s in, sorted.

They snap their cards, do a four-question induction written for this site, sign only the parts of the SWMS that are theirs, and they’re in the job chat.

  • Tickets read straight off a photo. No typing licence numbers into a portal.
  • One profile follows them to every job. No re-uploading the same white card for the fifth builder this year.
  • You see who’s cleared before they’re on the tools. Not after.
New gear

New gear on site? Learn it before you jump on.

When a machine lands on site, the people rostered on it get a three-minute 3D walkthrough on their phone. Watch Kev do it, then have a go yourself.

  • Built from the operator manual for that make and model, so the controls are where they really are.
  • Scored, not just watched. Miss a step or do it out of order and you’ll know.
  • Familiarisation, not a licence. High-risk work still needs the real ticket and a real assessor.
Heads-ups

Heads-up before the heat hits.

Smoko checks tomorrow’s forecast against your heat plan and gives the foreman a one-tap call. The crew hears about it the night before, not at 11am.

  • The foreman makes the call, not the app.
  • New starters get flagged. They’re not used to the heat yet.
  • Everyone taps to say they’ve seen it, so nobody can say they didn’t know.
More bites

The boring stuff, done in the background.

  • Re-sign only what changed

When a SWMS changes, the people it affects sign just the changed step. No 40-pager at the gate.

    Maggie, Safety
  • Overnight clash check

Someone rostered on the scissor lift without the ticket? Two trades in the same spot? You’ll know the night before.

    Gaz, Operations
  • Toolbox talk from your week

Two minutes on what actually happened on your sites, not a template from 2014.

    Kev, Training
  • Hold points that hold

No tiling until the waterproofing photo’s in. The job stays on hold until it is, and the tiler knows why.

    Prue, Quality
  • Pre-starts by QR

Scan the machine, answer three questions, done. The service gets booked before it’s due, not after it breaks.

    Skip, Plant
  • Renewals, chased

Tickets and insurances chased before they run out, not the week after. Nobody in the office has to nag.

    Wendy, Office
  • Inspector mode

Inspector at the gate? One tap shows who’s on site, their tickets and the SWMS in play.

    Fran, Compliance
  • One-tap muster

Everyone on site, from every company, on one list. “I’m safe” is a single tap.

    Maggie, Safety
  • Safer buys

Order a chemical in your job tool and get the safety data sheet, the PPE you’ll need and whether there’s a safer swap.

    Rivet, Environment
Meet the crew

A whole site office in your pocket.

Gaz runs operations. His crew covers the jobs a site office does, from SWMS to subbie paperwork. They draft, chase and remind. You and your people make the calls.

  • The boss

    You

The crew reports to you. They draft, chase and remind. You and your people make every call that matters.

One photo. Five of the crew.

Dazza snaps a loose scaffold board and Mel ticks the hazard card. That’s all the people had to do.

  1. Maggie logs the hazard and warns everyone on site
  2. Skip checks the scaffold’s last inspection tag
  3. Wendy books the scaffolder for this arvo
  4. Prue holds work on the north side until it’s signed off
  5. Fran files the lot as evidence for your safety system
  • They draft. You decide.Nothing goes on the record until a person on site ticks it.
  • Cheeky about streaks. Dead serious about hazards.A loose board gets a plain warning, not a pun.
  • They show their working.Every task says who it’s from and why it’s on your list.
  • They don’t carry your duties.Your legal duties stay with you and your people. The crew makes them easier to keep.
Integrations and workflows

Plug in your systems. The crew organises the rest.

Something happens in the job chat. The crew updates Simpro, emails the right person and tells everyone it affects. Anything that leaves the business waits for a person’s tick.

Your rules, in plain English

Start with the crew’s defaults and switch them on or off. No flowcharts.

  • When a new job lands in SimproGaz makes the channel and adds the crew. Maggie drafts the SWMS.

  • When a ticket or insurance is 14 days from expiryWendy chases the person and copies the office.

  • When anyone reports a near missMaggie tells the foreman. Kev adds it to Monday’s toolbox talk.

  • When a job is marked donePrue checks the handover photos before any invoice goes out.

Or just tell Gaz

Say what you want. Gaz writes the rule and shows you before it runs.

Streaks and points

Points for speaking up. Never for staying quiet.

Crews keep a streak by doing their bites. Points come from raising hazards and fixing things, so nobody has a reason to keep a hurt quiet.

FAQ

Fair questions.

Does Smoko replace my SWMS?

No. It keeps your SWMS current and makes sure the right people have read the right parts. The SWMS is still yours, and so are your legal duties.

Is it tracking me all day?

No. Smoko notes when you arrive at a site and when you leave. Nothing in between, and nothing off site. Your boss has to tell you before it’s switched on.

Does the 3D walkthrough count as a ticket?

No. It gets you familiar with a machine before you use it. High-risk work licences still come from a proper assessment on the real thing.

What if there’s no signal on site?

Smoko is being built to work offline. Photos, checks and sign-ons save on your phone and sync when you’re back in range.

Are Gaz and the crew real people?

No. They’re AI agents. They draft paperwork from what your crew says and snaps, chase what’s overdue and line up today’s checks. They never file anything on their own: a person on site always ticks it first.

Do the agents replace my safety adviser or office staff?

No. They take the admin off people’s plates. Your legal duties, and the judgement calls, stay with you and your people. If you use a safety consultant, they see the same records the crew keeps.

Will it work with my job software?

That’s the plan. We’re building connections to job tools like Simpro, ServiceM8, Tradify and AroFlo, plus email, calendars, accounts and file storage. Sign up and tell us what you use.

What’s Kaiso?

Kaiso Governance keeps your safety and quality management system audit-ready. Smoko is the bit your crew uses on site, and everything it records feeds straight into Kaiso.

Put the kettle on.

Sign up and we’ll let you know when Smoko’s ready for your crew.
